Job Description:

The Purchasing Executive is responsible for managing procurement activities, sourcing suppliers, negotiating prices, and ensuring the timely availability of quality products and services required for smooth hotel operations. The role focuses on maintaining cost efficiency, supplier relationships, and compliance with purchasing procedures while supporting operational excellence.

Key Responsibilities

  • Manage daily purchasing activities and ensure timely procurement of goods and services.
  • Source, evaluate, and negotiate with suppliers to obtain competitive prices and quality products.
  • Prepare purchase orders and ensure proper authorization before procurement.
  • Maintain strong relationships with suppliers and monitor supplier performance.
  • Review purchase requests from different departments and ensure accuracy of specifications.
  • Coordinate with Stores, Finance, Kitchen, Engineering, and Operations teams to meet purchasing requirements.
  • Monitor market prices and identify cost-saving opportunities.
  • Ensure all purchased items meet required quality standards and specifications.
  • Maintain proper documentation including quotations, purchase orders, invoices, and supplier records.
  • Assist in supplier selection, contract negotiations, and vendor evaluations.
  • Monitor delivery schedules and follow up on pending orders.
  • Support inventory control by coordinating with the Stores department.
  • Ensure purchasing activities comply with company policies and financial procedures.
  • Assist with audits by maintaining accurate procurement records.
  • Identify opportunities to improve purchasing efficiency and reduce operational costs.

Qualifications & Requirements

  • Diploma or Bachelor’s degree in Purchasing, Supply Chain Management, Business Administration, Hospitality Management, or a related field.
  • Minimum 2–3 years of experience in purchasing, procurement, or supply chain operations.
  • Previous experience in a hotel, resort, or hospitality environment is preferred.
  • Strong knowledge of procurement procedures and supplier management.
  • Good negotiation and communication skills.
  • Ability to evaluate supplier quotations and make cost-effective decisions.
  • Proficiency in Microsoft Office applications and purchasing/inventory systems.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Good command of English; Sinhala/Tamil language skills will be an added advantage.

Preferred Skills

  • Experience handling hotel supplies, food & beverage purchasing, operating equipment, and guest supplies.
  • Knowledge of inventory control, cost management, and supplier audits.
  • Familiarity with ERP/PMS or inventory management systems.
  • Strong analytical and problem-solving abilities.
  • Professional approach with high integrity and ethical purchasing practices.
