Job Description:

The Reservation Assistant Manager is responsible for supporting the Reservations Manager in overseeing the reservations department, maximizing room revenue, ensuring booking accuracy, and delivering exceptional customer service. This role focuses on optimizing occupancy, maintaining efficient reservation processes, and coordinating closely with Sales, Front Office, and Revenue Management teams.

Key Responsibilities

  • Assist in managing the daily operations of the Reservations Department to ensure efficient and accurate booking processes.
  • Supervise and support the reservations team, providing training, guidance, and performance monitoring.
  • Maximize room occupancy and revenue through effective inventory management and upselling techniques.
  • Monitor room availability, booking trends, and rate strategies in coordination with Revenue Management.
  • Handle complex reservation requests, group bookings, VIP reservations, and guest inquiries professionally.
  • Ensure all reservations are accurately entered and maintained in the Property Management System (PMS).
  • Coordinate with Front Office, Sales & Marketing, Housekeeping, and Revenue teams to ensure seamless guest arrivals.
  • Prepare reservation reports, forecasts, and performance analyses for management.
  • Maintain strong relationships with travel agents, corporate clients, online travel agencies (OTAs), and other booking partners.
  • Ensure compliance with hotel policies, reservation procedures, and brand standards while maintaining high levels of guest satisfaction.

Qualifications

  • Bachelor's Degree or Diploma in Hospitality Management, Tourism, Business Administration, or a related field.
  • Minimum 3–5 years' experience in hotel reservations, including at least 1–2 years in a supervisory or leadership role, preferably within a luxury hotel, boutique hotel, or resort.
  • Strong knowledge of hotel reservation systems and Property Management Systems (PMS) such as Opera, Protel, IDS, or similar.
  • Good understanding of revenue management principles, room inventory control, and distribution channels.
  • Experience working with Online Travel Agencies (OTAs), Global Distribution Systems (GDS), and booking engines.
  • Excellent communication, leadership, customer service, and organizational skills.
  • Strong analytical and problem-solving abilities with high attention to detail.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Excellent command of English; Sinhala and/or Tamil will be an added advantage.
  • Ability to work under pressure and manage multiple priorities in a fast-paced hospitality environment.
