Job Description:
The Purchasing Manager is responsible for leading and managing the procurement function, ensuring the efficient sourcing of quality products and services at competitive prices. The role involves supplier management, cost control, procurement strategy development, and ensuring compliance with company policies and operational requirements. The Purchasing Manager works closely with Finance, Operations, Food & Beverage, Engineering, and other departments to support smooth and cost-effective business operations.
Key Responsibilities
- Develop and implement effective purchasing strategies aligned with company objectives.
- Lead and manage the purchasing team to ensure efficient procurement operations.
- Oversee the sourcing, evaluation, and selection of reliable suppliers.
- Negotiate contracts, pricing, payment terms, and service agreements with vendors.
- Establish and maintain strong relationships with suppliers and conduct regular supplier evaluations.
- Review purchase requests and ensure procurement activities meet operational requirements.
- Ensure all purchases are made in accordance with approved budgets and company policies.
- Monitor market trends, pricing changes, and supplier performance to identify cost-saving opportunities.
- Implement purchasing controls to minimize wastage and improve profitability.
- Coordinate with Stores and Finance teams to maintain effective inventory and cost management.
- Ensure timely availability of food supplies, beverages, guest amenities, operating equipment, and other operational requirements.
- Review and approve purchase orders, quotations, and procurement documentation.
- Support annual budgeting and forecasting activities related to procurement.
- Ensure compliance with internal audit requirements and procurement procedures.
- Monitor purchasing reports, spending analysis, and supplier performance metrics.
- Train, guide, and develop purchasing team members.
- Identify opportunities to improve procurement processes and operational efficiency.
Qualifications & Requirements
- Bachelor’s degree or Diploma in Purchasing, Supply Chain Management, Business Administration, Hospitality Management, or a related field.
- Professional qualification in supply chain or procurement management will be an added advantage.
- Minimum 5 years of experience in purchasing/procurement, including 2 years in a supervisory or managerial role.
- Previous experience in a luxury hotel, resort, or hospitality environment is highly preferred.
- Strong knowledge of procurement procedures, supplier management, and cost control practices.
- Excellent negotiation, communication, and leadership skills.
- Strong analytical and decision-making abilities.
- Proficiency in Microsoft Office applications and procurement/inventory management systems.
- Ability to manage budgets, deadlines, and multiple priorities effectively.
- High level of integrity, accuracy, and attention to detail.
- Good command of English; Sinhala/Tamil language skills will be an added advantage.
Preferred Skills
- Experience managing hotel procurement operations including F&B, engineering, housekeeping, and guest supplies.
- Knowledge of hospitality cost control, inventory management, and stock optimization.
- Experience with ERP systems and purchasing software.
- Strong vendor relationship management skills.
- Ability to develop procurement policies and improve operational efficiency.
- Professional leadership approach with a focus on quality, cost optimization, and service excellence.
